• Compliance documents: Files uploaded by carriers (e.g., insurance certificates, operating authority, driver lists) at the direction of their insurance agent.
• FMCSA data: Publicly available carrier information retrieved from the Federal Motor Carrier Safety Administration based on DOT numbers you provide.
• Usage data: Log data including IP address, browser type, pages visited, and actions taken within the platform, collected automatically.
• Billing information: Payment details are collected and processed by Stripe, Inc. We do not store full credit card numbers on our servers.

3. How We Use Your Information

We use the information we collect to:

• Provide, operate, and improve the CMV CoPilot platform
• Process subscription payments and manage billing
• Send transactional emails (document notifications, account alerts)
• Monitor platform health, security, and performance
• Comply with legal obligations and enforce our Terms of Service

We do not sell your personal information to third parties.

4. How We Share Your Information

We may share your information with:

• Supabase: Our database and authentication provider, which stores user accounts and documents.
• Stripe: Our payment processor, which handles subscription billing.
• Resend: Our email delivery provider, which sends transactional notifications.
• OpenAI: Used to power AI-assisted compliance features. Document content may be sent to OpenAI for processing.
• Sentry: Our error monitoring provider, which receives anonymized error reports to help us identify and fix issues.
• Law enforcement or regulators: When required by applicable law, court order, or governmental authority.

5. Data Retention

We retain your account data and uploaded documents for as long as your account is active or as needed to provide the service. If you close your account, we will delete or anonymize your personal data within 90 days, unless we are required to retain it by law.

6. Security

We implement industry-standard security measures including encryption in transit (TLS), encrypted storage, row-level security on our database, and access controls. However, no method of transmission over the internet is 100% secure. We cannot guarantee absolute security of your data.

7. Your Rights

Carrier data retrieved from the FMCSA is publicly available government information. CMV CoPilot is not affiliated with, endorsed by, or sponsored by the FMCSA or the U.S. Department of Transportation. Data is provided for informational purposes only.

10. Children's Privacy

CMV CoPilot is intended for use by business professionals and is not directed at individuals under 18 years of age. We do not knowingly collect personal information from children.

We may update this Privacy Policy periodically. We will notify you of material changes by email or by posting a notice within the platform. The effective date at the top of this page indicates when the policy was last updated.
